No permit required to start your own travel agency.

It is good to know that you do not need special permits or diplomas to start a travel agency in the Netherlands. This means that in theory you can set up your business straight away.

Within the Netherlands, there are of course certain legal rules that you must adhere to as an entrepreneur within the travel industry (for example the Advertising Code for Travel Offers and specific VAT/tax rules for travel agencies such as the Travel Agency Regulation).

European law on package travel: make sure you know your obligations.

In addition to Dutch regulations, you must also keep an eye on European legislation. Are you going to offer package tours (for example, recommending a flight ticket and hotel, or putting together tours in which you combine hotels and excursions)? Then, according to European law, you must have a guarantee scheme against financial insolvency. This means that you must join a guarantee fund. Stichting Garantiefonds Reisgelden (SGR), STO-Garant, Guarantee Fund for Specialized Tour Operators (GGTO) and VZR Garant are parties with which you can take out a guarantee scheme.

Become a member of the trade association VvKR.

Although you can easily start a travel agency on your own, a helping hand or some advice is never a bad thing. That is why it is wise to register with the trade association Association of Small-scale Travel Organizations (VvKR). As the name indicates, VvKR is an interest group aimed at smaller travel agencies. The members and experts of this association all run their own small-scale travel organization and are therefore focused on a personal approach and small-scale tourism. This allows you to confidently arrange wonderful trips and adventures for your travelers and benefit from collective insurance benefits, legal advice, business training and marketing masterclasses (the latter are often provided by marketing coach and co-founder of reisbureauwebsite.nl, Wendy Assenberg van Eijsden).

VvKR also has a handy handbook for starting travel organizations in which you will learn everything about legal requirements, purchasing, guarantee funds, writing a business plan, etc.).

Another organization you can consider is the General Dutch Association of Travel Agencies (ANVR). This is one of the most important trade organizations within the travel industry and they welcome both large companies and starters. Through ANVR you can talk to experienced coaches who will be happy to help you start your travel agency smoothly. We must note that this organization is more focused on larger parties and the costs of joining are also much higher. Perhaps a membership of ANVR will be a good investment in the future, but if you are just starting your travel agency, the VVKR is probably a better match.

Start a travel agency with a trusted quality mark

If you are a member of VvKR (or ANVR), you can then mention their logo on your travel agency website. Such a logo will create more trust among potential customers. In addition, it is simply an easy way to show potential customers that you work according to strict quality requirements and take everything seriously. In addition to the VvKR logo, the ‘quality mark’ of a guarantee fund, such as that of the Travel Guarantee Fund Foundation (SGR), is the most important quality mark that you can have when starting your travel agency.

Insurance and conditions to start your own online travel agency.

Membership of a renowned organization such as VVKR is of course not enough. There are some important things you need to think carefully about when starting your own online travel agency. Things you need to think about are, for example, how you deal with down payments for a trip or cancellations.

Draw up general travel conditions

When you start a travel agency, it is wise to draw up clear travel conditions. This is not legally required, but in practice it is common and sensible. This way, everyone who books a trip with your travel agency knows in advance exactly how you handle (down) payments, cancellations, liability, complaints, unexpected circumstances, etc. and you prevent problems.

If you are a member of the Association of Small-scale Travel Organizations (VVKR) or ANVR, you can, for example, use their model travel conditions. This way you can be sure that when you start your travel agency, you immediately comply with all the rules that European legislation sets when concluding transactions (bookings) through your travel organization.

Liability insurance for your travel organization

You also need insurance if you start your own travel agency. The main insurance you need to take out is professional liability insurance (BAV). By taking out this insurance, you will not have to deal with high costs if, for example, a traveler becomes ill during a trip or is involved in an accident.

“A huge increase in the number of applications.”

marjolein penning
“I have known Michel for many years and he has built the websites for both Lotus Tours and Eshi Eco Travel. This to my great satisfaction! Michel has an excellent sense of what the wishes are and in consultation makes the website completely tailor-made. He also thinks actively and comes up with suggestions for improvements that you would not easily think of. Furthermore, he responds very quickly and if necessary also outside office hours, which I think is really great added value. The new website for Eshi Eco Travel has also provided a enormous increase in the number of applications. In short: highly recommended!”

Arrange the flight tickets for your travel agency.

Of course you can’t start a travel agency without purchasing airline tickets. You decide which trips you will offer when you start a travel agency and whether you offer your trips including or excluding airline tickets.

We regularly see starting and small travel agencies that decide not to include airline tickets in their trips, because there is very little margin and customers can often purchase airline tickets cheaper online. If you do want to include airline tickets in your travels, there are different ways to obtain airline tickets. This way you can use the channels available to consumers. However, there is a smarter way. There are a number of consolidators within the travel industry.

Consolidators are parties that buy airline tickets in large numbers and resell them to starters. This means you do not have to comply with the rules of the International Air Transport Association (IATA). Airtrade, ATPI and Vuelandia, among others, are consolidators. By purchasing tickets from these parties, you as a starting travel agency can offer the best and most affordable trip.

Learning from successful entrepreneurs with their own travel organization.

If you want to open your own travel agency, you will have to deal with all kinds of questions that come with doing business in the travel industry. And then it’s nice to be able to spar, ask questions and learn from others who already have more experience with this. Whether you are faced with questions about how to prepare good travel proposals, have legal questions about cancellations or want tips to promote your own travel agency: do not try to ‘reinvent the wheel’ on your own, because that is a waste of time!

There is an extensive online community on Facebook where you can get in touch with experienced travel entrepreneurs and experts who know how to successfully run your own travel agency: the Facebook Community for Small-scale Travel Organizations. This community was started by oour own marketing coach Wendy and she regularly shares news from the industry here and also regularly organizes free marketing training and business training in the group with other experts from the travel industry. So become a member immediately and start building a business network. It is nice if you introduce yourself personally in the group, then you will see that other entrepreneurs are always willing to help you with advice and support for starting your travel agency!

“It’s nice to take a course and trust that the website will come out better.”

“Because we had been looking for a plan for a number of years on how we could make the www.tura-travel.nl website easier to find, we decided to work with Wendy and Michel. It’s nice to take a course and trust that the website will come out better.”

Starting your own online travel agency: the website.

Once you have taken care of all the above, there is one crucial element left to successfully start a travel agency. We are of course talking about the website. Without a well-functioning travel agency website you are nowhere, because more than two-thirds of travelers now book their holidays online.

For your own travel agency, your website is your most important sales channel: the platform where travelers can book their next adventure. However, a good travel agency website is more than just a passive business card: your website should be like a magnet to attract customers via Google and convince visitors to book their next trip with you.

Your travel agency website as your automated marketing system

Your website is actually your own automatic marketing system: the 24/7 online version of your travel agency, where you as a travel advisor share your personal stories, travel tips and experiences and help people find a trip that suits their wishes.

So when starting your travel agency, keep in mind that you will have to delve into internet marketing. For example, start by downloading the free marketing manual for small-scale travel organizations from our own marketing expert Wendy.

Have your website built by an expert

You don’t have to build a website yourself. When you start a travel agency, you have enough things to worry about. Moreover, it really makes a difference if you hire an experienced party to take care of this. We understand better than anyone else what it takes online to get it right right away and build a website that actually gets you bookings.

In addition, we are happy to think along with you so that your website makes a great first impression. With a well-functioning website that contains everything you want to show and find important, you elicit a response from travelers. In short, with a good website you will quickly attract more leads and new customers – even if you are just starting a travel agency!

What does a ZRA earn?2023-07-13T12:43:40+02:00

As an independent travel advisor (ZRA), you determine your income and earnings yourself. This depends on various factors, such as the number of hours you work, the number of customers you serve and the margins you make on the trips sold.

As a ZRA, you usually work on a commission basis, which means you get a percentage of the sale price of the trip you sell. The amount of this commission can vary, depending on the agreements you have made with the travel organization you work with.

In addition, as a ZRA you can also use your own rates for your services, for example for advice and booking costs. It is important to clearly communicate these rates to your customers, so that they know what to expect.

It is difficult to give an exact amount what a ZRA earns on average, as it depends on the factors mentioned and also on your experience and knowledge in the travel industry. It is important to invest in your own marketing, network and knowledge to be as successful as possible as ZRA.

What is the difference between a travel agency and a tour company?2023-07-13T12:44:29+02:00

A travel agency and a travel organization are both active in the travel industry, but they do have different functions and duties.

A travel agency is an intermediary between the customer and the various providers of travel products and services, such as airlines, hotels, tour operators and car rental companies. The travel agency advises and sells trips and holidays to customers, taking into account the wishes and budget of the customer. The travel agency arranges the bookings and ensures that everything is arranged for the customer.

A travel organization is a company that puts together and organizes trips itself. This could, for example, be a package tour in which transport, accommodation and activities are combined in one package. A travel organization can also organize group travel, individual travel or tailor-made travel. The travel organization is responsible for compiling the trip, arranging the bookings and carrying out the trip.

The main difference between a travel agency and a travel organization is therefore that a travel agency acts as an intermediary between customer and provider, while a travel organization compiles and organizes trips itself. A travel agency sells trips from different providers, while a travel organization sells its own products.

What about the maintenance of my website after delivery?2023-07-13T12:46:50+02:00

Support is included until the end of the current calendar year. If the website is delivered in December, the maintenance will run until the end of the following calendar year. After that, the costs for support & maintenance are € 19.95 per month (billed annually). Need more than an hour? Then consult. That has just never happened. Maintenance includes updating WordPress, plugins and theme. In addition, we make daily (database) and weekly (file) backups and one hour of recovery per month if things do not work properly after the update.

What does a website cost?2023-07-13T12:48:08+02:00

This very much depends on the number of different pages on the website and the functionalities in the website. We can help you with a really good website from € 2.465 ex VAT. All our rates are all-in fixed fee project prices, with no unexpected costs during or after the project. You can find more about our rates on the rates page.

Such a website is beyond my budget… is there no cheaper way?2023-07-13T12:48:41+02:00

A bit longer answer, because we want to give a really good answer :-)

We realize that there are always situations conceivable in which a website of more than € 3,800 does not fit into your budget. Maybe you’re just starting your travel organization, you’re thinking about building your own, or you have “someone in the family” who says they can build websites too.

To be very honest: if you really only have a few hundred euros of budget available, then we are not the best solution for you, because for that price you can only have a very basic website built based on a standard theme. In practice, we have often seen in recent years that websites are built that are ultimately constantly broken, that even yield fewer bookings than the old website, that cannot be found at all in Google or whose builder is unreachable after delivery, etc. ..

A better question than “do I have a budget for this” is actually “what will it cost me if I have a bad website built (again)” or turn the question around from “can I afford this investment” to “how long do I need to recoup this investment”?

Because let’s be honest: to earn back € 2.465 (assuming a 10% profit margin per sold trip and an average price of € 1,600 per trip), you have to sell a trip to 20 extra people. In general, you write off a website in 5 years, which means that you have to sell a trip to 4 extra people every year (or 1 or 2 companies) to earn back your website.

If you can’t afford that for the all-important channel where your bookings in the modern travel industry must come from, then you already know enough… then it’s RIGHT time to invest in a website that does work. Otherwise, there is a good chance that your business will become more of a hobby than it will actually bring you an income.

Do you REALLY REALLY not have the budget even then? That’s really no shame: in recent years Wendy has even developed an online course especially for small-scale travel organizations that teaches you all the ins and outs you need to pay attention to when developing a really good travel agency website. So IF you really only have a limited budget, then we recommend that you take the course “A Website That Gets Bookings” and use that course to create such a clear instruction and checklist for your website builder that you sure that you will not be faced with any surprises.

You then know exactly what “works” in the travel industry in terms of technology, SEO, web design, conversion technology, marketing tools and writing convincing web texts.

And do you come to the conclusion halfway through that course that you would rather have a Booking Magnet website built? Then we deduct the full course price from your website built with us. (you won’t be the first to whom this happens ;-)).

When can you start?2023-07-13T12:48:52+02:00

We can often start the process within two weeks of the introduction. Always within 4 weeks.

How long does it take to design/develop a website?2023-07-13T12:49:11+02:00

On average, a website process takes 3-4 months. Sometimes this is 2 months, sometimes it is 6 months. Depending on the complexity of the website, the response speed of both you and us and any unforeseen issues.

Can I get a unique design or do you work with existing themes/layouts?2023-07-13T12:49:45+02:00

We do work with existing themes and also make a truly unique design for your new website. In that case, we have real creative freedom to design the website that you want and that will really work for you.

Which website system / WordPress theme / drag & drop builder do you work with?2023-07-13T12:50:23+02:00

Your website is built in the WordPress CMS system. We do work with a standard theme (Avada). Every travel organization is different and must also have its own striking appearance to distinguish itself from the (many) competitors. We therefore also work with a tailor-made website in WordPress, where we develop various content blocks, with which you can build the pages very flexibly. Decide for yourself which blocks are shown and in which order these blocks are placed.

Can I easily change things in the website after delivery?2023-07-13T12:50:38+02:00

Yes, we use a handy ‘drag & drop’ system that allows you to easily copy pages in their entirety (for example if you want to add new voyages), but we also store all blocks or parts of your pages in a library as ‘page- element’, so if you want to create a completely new page yourself, you can use these blocks to design that page yourself, knowing that it will still look sleek on mobile and in terms of alignment.

So you never have to type complicated codes, but you can still easily add or remove pages and page elements / adjust texts and images, etc.

Won’t I drop in Google if I launch a new website?2023-07-13T12:50:53+02:00

Good question! Many entrepreneurs (and website builders!) are not aware that in order to maintain your Google position, a number of actions and checks must be carried out before you put your new website live.

However, we use an extensive checklist before we put your new website online and help you to ensure that you do not see any unnecessary fluctuations in Google.

If new pages have been added to your new website/pages have been removed or the name/URL has changed, we will, for example, ensure that your old website pages are correctly redirected to new URLs (301 redirects) when going live, so that you will not see any unnecessary changes in your Google position.

In general, you will always see a small dip in your Google results in the first few weeks after your new site goes online (because Google needs some time to analyze any changes and to include traffic figures for your new site in their algorithm calculations ), but eventually this will recover (and if you have made improvements to your website, such as making your texts SEO-friendly, optimizing your images, adding new SEO pages, etc.) you can even make your website rise enormously in Google.

Wendy is an experienced SEO specialist and has also been providing SEO entrepreneurial courses for travel entrepreneurs for years, so she will also point out actions you can take yourself during the onboarding calls to make your new website easier to find in the search engines.

Your current website will therefore remain online and indexed by Google until we replace it with your new website. Do I need a new website?2023-07-13T12:53:07+02:00

That depends on what the problem is with your current website. Do you receive too few bookings, does your website have technical problems, or are you not happy with your website builder, for example? Feel free to schedule a free consultation with us, then we will see what the problem is and whether you really need a new website or website builder to get more bookings. Sometimes there are small technical issues that can be easily solved or only minor adjustments are needed in your design/texts or marketing approach and you don’t need a new website at all. We will always be honest about this and through the website and marketing training of www.buildyourtravelbizz.com we can always help you to tackle issues yourself if a new website is not the best solution for you at the moment.
